Manager, Operations/Client Service
Hoffman Estates, IL
The Manager of Operations and Client Service is a key leadership role within
the organization providing leadership and management for all operations and
administrative processes within the firm. The individual will provide
managerial oversight of Operations and Administrative team members as well
as contribute directly to production efforts and engage with clients
directly to meet their unique needs. The right candidate will also have the
ability to see processes within a system context and drive technology and
tool adoption to enhance efficiencies throughout the operation; including,
measurable improvements. This role will report to the Managing Partner and
closely work with the Chief Compliance Officer to ensure all process
disciplines, documentation, and archiving are completed within the
requirements of the Securities and Exchange Commission regulations.
Client Experience Team Members anticipated: Administrative Specialist and
New client engagement to create documentation for onboarding new
Client engagement meetings – from initiating, confirming, documenting and
Respond to spontaneous client inquiries
Client household/account maintenance: beneficiary information, address,
reporting, statements, changes to trustee, etc.
Communicate with client Estate Planning Attorney or CPA offices on behalf of
client’s administrative needs
Monitor incoming and outgoing compliance correspondence
Monitor phone system and protocols
Archive closed accounts, imaging, paperless
General Office Operations and maintenance; purchasing contracts for office
supplies, service provider management; e.g. office cleaning, document
shredding, club memberships, etc.
Annual Symposium planning, and preparation, and execution,
Special Event planning and execution for client appreciation and
Registered Investment Advisory (RIA) and/or Family Office experience
10 Years’ Management Experience
Ability to adapt to new technology for continuous improvement to the client
Strong experience using MS Office Suite (Excel, Word, PowerPoint, Publisher)
Previous CRM background (Goldmine preferred)
Proprietary Financial Asset Management (i.e. LPL Platform) experience
Mass email and event registration platform, such as Constant Contact
Experience running social media accounts (LinkedIn, Facebook, Twitter, etc.)
Previous experience managing web conference meetings, such as GoToMeeting
