Description:
Boutique fee-based financial planning/wealth management firm serving high
net worth individuals and corporate sponsored retirement plans seeks a
Client Service Associate to support Operations/Wealth Managers and
administrative needs. The position will work with other members of the
firmís operations team and report to the Director of Operations.

RESPONSIBILITIES:
Provide support to Operations and Wealth Managers in account
establishment/maintenance ensuring forms are processed correctly and
efficiently. Follow-up with investment companies (Schwab, American Funds,
etc.) and custodians to confirm processing is completed and
troubleshoot/resolve operational issues
Review/process financial transactions (check deposits/account transfers/ACH
and wire transactions)
Compose general client correspondence/compliance-related letters and submit
for compliance approval as needed
Prepare proposals/current asset allocations/balance sheets for wealth
management clients
Prepare/process paperwork and establish/maintain accounts for broker/dealer
clients (annuities, retirement plan accounts, 529/college savings plans),
asset transfers, deposits, withdrawals, etc.
Prepare meeting materials for wealth management clients (coversheets,
performance reports, Morningstar/ValueLine reports) and any necessary
account maintenance paperwork, performance reports; periodic client
reporting as requested/needed
Serve as member of Operations Committee; participate in daily operations
meetings
Generate insurance quotes/illustrations for potential life/long-term
care/disability insurance clients; prepare/process applications and assist
with underwriting
Answer/screen/route calls from clients/vendors/prospective clients; assist
with client administrative requests and/or take detailed messages
Greet/assist visiting clients; ensure all clients are made to feel
welcome/situated
Maintain detailed/accurate notes and records in CRM for all client-related
interactions and tasks; communicate status of pending/completed items to
appropriate Operations or Wealth Manager on a regular basis
Provide back-up to Practice Administrator as needed: process daily mail,
manage/maintain office supplies, maintain professional appearance of office,
collaborate with Office Manager to resolve office equipment issues with
appropriate vendor, refill refrigerator on daily basis
Manage client ambassador activities: creating/sending cards/gifts/flowers to
clients or employees, organize/coordinate employee recognition programs,
schedule/coordinate employee events, record/distribute detailed meeting
minutes for staff/operations team meetings

REQUIREMENTS:
Bachelorís degree preferably in business, accounting, finance, economics, or
related experience
Minimum 3-5 years of experience in client service and/or operations in the
financial services industry (preferably with an independent RIA/Wealth
Management firm)
Proficiency in Microsoft Office, Excel, and PowerPoint; experience with CRM
and portfolio management software
Experience working with Schwab or TD Ameritrade a plus
Experience with a portfolio management software program such as Portfolio
Center, Axys, or Junxure a plus
General understanding of insurance policies (life, disability, and long-term
care) would be a plus
