Executive Assistant – Marketing/Consultant Relations (25-244)

Location:

Description:
Leading boutique investment management firm seeks an Executive Assistant to
report to and provide administrative support for the Head of Consultant
Relations and two executives on her global team. Will also manage the NYC
office, including logistics for meetings and management of the physical
office. Will be seated at the Reception desk

Hours: 8:30am–5:30pm (one-hour lunch); overtime as needed; must be
willing/able to check email/voicemail/text in AM/PM before/after work and be
available by email/voicemail/text over weekends RE: time sensitive
developments

RESPONSIBILITIES:
Marketing/Administrative support: calendar management; CRM system
inputs/updates/reporting; expense reports; memberships; conference
registrations; travel calendars; coordinate delivery of books/materials for
meetings; coordinate internal meetings
NY office marketing meetings: ensure meetings are on calendars; greet
guests; reserve conference room; order catering; register guests with
security; coordinate printing/shipping of presentation books and prep
materials; set up/tidy conference room; ensure AV is functional as needed
Office management/maintenance: sit at reception; answer main phone line;
interact with building management as needed; manage cleaning/repairs;
order/stock office supplies/groceries; manage pantry/kitchen; manage
mailroom-- inbound and outbound mail/FedEx distribution; ensure
functionality of copiers/scanners/shredder/faxes/stock paper and supplies;
tidy office space/kitchen ahead of guests; coordinate logistics for internal
visitors from global offices
Back up other administrative staff in NYC as needed (vacation/sick/etc.)
Back up Chicago Marketing EA as needed

REQUIREMENTS:
College degree preferred
Experience in financial services, preferably investment management
Experience with Windows 10, Concur and a CRM system and aptitude to learn
new processes and computer systems
Must a be proactive critical thinker with intense attention to detail,
ability to work effectively/efficiently, prioritize/multi-task, strong
follow-through, excellent organizational and communication skills who is
self-motivated and willing to ask questions.
