Office Coordinator – Temp-to-Perm (1208-1)

Chicago-based global investment manager with a heritage and strength in real
estate and infrastructure, and specialist expertise in fixed income,
equities and multi-asset solutions is seeking an Office
Coordinator/Administrative Assistant to provide support to the Chicago
office and the Head of Corporate Services, North West Region.

Coordinate general office administrative support affecting ‘whole of office’
Send and receive mail and packages
Screen and filter calls, visitors, correspondence
Liaise with suppliers to ensure best value for money on all spends in the
Administration of office expenses, timely processing statements and invoices
Assist visitors as required
Manage reception area
Coffee/tea and/or meeting catering as required
Keep meeting rooms and reception area presentable and tidy for client visits
at all times
Arrange office meetings and event venues and appropriate catering
Set up new starter work stations
Manage IT issues and order hardware as required
Provide high quality effective administrative support for assigned teams,
including the team leader and all direct reports
Diary management as required
General secretarial duties i.e. word processing, presentation formatting,
printing, binding
Organize international/domestic travel and group conference bookings as
Process in a timely manner all credit card and cash expenses for the team
Maintain the team’s filing systems in a clear fashion, sending documents to
be archived and tracking them when they should be disposed of

At least 1-2 years of experience in an administrative support role for a
financial services company preferred
College degree preferred
Must be a self-starter that enjoys a team-orientated approach
Service-orientated person that is willing to help and to do what it takes to
support the business
Meticulous attention to detail
Effective communication and time management skills
Experience with Microsoft Office software
