Operations Specialist (1049-256)

Hoffman Estates, IL

The Operations Specialist is a key role within the organization by managing
operations and administrative processes within the firm. The individual will
contribute directly to production efforts and engage with clients directly to
meet their unique needs. The right candidate will have the ability to see
processes within a system context and utilize technology and tool adoption to
enhance efficiencies throughout the operation; including, measurable

New client engagement to create documentation for onboarding new relationships
Client engagement meetings – from initiating, confirming, documenting and
Respond to spontaneous client inquiries
Client household/account maintenance: beneficiary information, address,
reporting, statements, changes to trustee, etc.
Communicate with client Estate Planning Attorney or CPA offices on behalf of
client’s administrative needs
Assist in archiving process; closed accounts, imaging, paperless

Registered Investment Advisory (RIA) and/or Family Office experience
10 Years’ Operational Experience
Bachelor’s Degree
Strong verbal and written communication skills
Previous experience in a client service position preferred
Exceptional MS Office experience (Excel, Word, PowerPoint, Publisher)
Previous experience using a CRM system (i.e. Goldmine)
