Client Services & Administrative Assistant (1220-298)

Established wealth manager based is Skokie is seeking a Client
Services/Administrative Assistant to provide day-to-day support in running
his business. This includes acting as the first point of contact for client
inquiries and greeting them as they arrive for appointments. Other duties
include processing paperwork and providing general administrative support.

Screen calls and emails in a courteous manner
Handle client calls and greet clients/walk-ins, as needed
Greet clients when they arrive for an appointment
Manage client service issues and requests
Schedule and confirm appointments
Help prepare Managing Partner for all client or prospect
Assist with preparation of correspondence
Provide administrative roles such as scanning, faxing, copying, and mail
Log in securities and checks
Maintain required client files in accordance with securities compliance
Assist in managing electronic and paper client file maintenance
Maintain a professional and presentable office for client visits
Coordinate all day-to-day client services and operational activities
Process all new account paperwork and account transfers
Accurately complete applications and forms
Client account maintenance, including beneficiary or address changes/updates
Prompt response and completion of all client service requests including
account deposits, withdrawals and requests for account statements and
Complete account transfers such as ACATs and non-ACATSs
Follow-up work, problem resolution, and troubleshooting
Prepare detailed reports, spreadsheets, analysis or updates, as assigned
Coordinate seminars and social events such as client appreciation or holiday

Previous experience in a support role in the financial services industry
Bachelors degree preferred
Strong MS Office experience, especially using Outlook and Excel
Experience using Schwab platform preferred
Experience using Redtail (or a similar CRM) preferred
Ability to multi-task in a fast-paced environment
High attention to detail
