Executive Assistant (Investment Management) / Temp-to-Perm (28393-293)

New York, NY (Flatiron District)

HOURS: 8:30- 6:00 (Must be open to working post-business hours via mobile
phone as needed)

The Executive Assistant (EA) will provide high quality professional/personal
administrative support to the CEO/CIO of a nimble, multi-billion dollar
investment management firm. Role is being filled on Temp-to-Perm basis, but
absolutely looking for a long-term permanent solution.

Ensure: that outbound materials are accurate/professional/timely; that CEO
functions efficiently/effectively (provide answers/solutions to anticipated
needs and respond to changes with sense of urgency/professionalism); that
anyone interacting with CEO office (Board Members/Staff/Stakeholders) feels
confident in answers/next steps and that needs are met; that communications
are highly professional and highest level of confidentiality is maintained
at all times
Communications: answer phones (ensure prospects/clients feel valued and have
positive image of org); ensure timely/accurate response to email/phone
inquiries; record messages/voicemails and email messages to CEO; coordinate
communication with senior management
Travel: make accurate/cost effective travel arrangements with related
details attended to; maintain availability during travel for
issues/modifications; forward personal/business e-mails and call with
revised information; prep itinerary with relevant details/bios/contact
info/etc.; schedule hotels/car service for Board members; confirm
appointments day before travel
Scheduling: maintain calendar (appointment scheduling/meetings/events/media
interactions) both business/personal as needed; coordinate with Board of
Directors/Shareholders; schedule/organize/record meetings with investment
team; ensure analyst follow-up
Organization: maintain filing system; ensure necessary materials are on
hand; coordinate routine management reporting from all areas of firm
Prepare materials/proposals/presentations/etc. in PowerPoint/Word/Excel from
rough notes/edits.
Other duties as needed

5+ years’ experience assisting a high level senior executive (CEO or CIO) in
equity investment management or hedge fund setting
Undergraduate degree (3.0+/4.0 GPA) or equivalent training/experience;
advanced degree preferred
Demonstrated knowledge/experience in equity markets and asset/investment
management industry
Proficiency in Word (tables, mail merge, etc.) and PowerPoint (creating
formal presentations); intermediate proficiency with Excel (basic data
sorts, formatting dollars vs. percentages, and basic calculations/formulas)
Proficiency in Factset or investment reporting software would be a plus
Proactive/resilient/flexible self-starter; detail orientation/commitment to
quality; strong time management/collaboration/planning/organization and
verbal/written communication skills; willingness to do whatever it takes to
get job done including overtime/odd hours
