Marketing and Communications Coordinator | Registered Investment Advisor (1178-2)
Oak Brook, IL
The company is a registered investment advisory firm providing fee-based
planning services including written financial plans, professional portfolio
management and portfolio consulting.
The purpose of this position is to ensure smooth day-to-day operations of
the practice while providing superior customer service to existing clients
and prospects. Position requires employee to perform all onboarding
activities, from initial prospect conversation to calendar management,
outgoing mailings, and welcoming new clients. This position also handles
industry specific tasks such as database management.
Maintain an organized, compliant and efficient filing system
Input prospects and keep database/CRM program up-to-date
Print, read, file and delegate information from Copytalk
Mail follow-up letters to clients after each appointment
Set appointments and fill revenue days (Tuesdays, Wednesdays and Thursdays)
Manage Advisor’s calendar regarding appointments, both new and review
Mail out questionnaires and brochures and manage prospect pipeline
Maintain lobby video, post social media, work with various marketing systems
Implement new marketing ideas and work with P/R agencies, as needed
Manage/Send out various marketing pieces
Work with bi-monthly newsletter offering
Phenomenal phone skills
Exceptional written and verbal communication skills
Experience working in a fast-paced environment
Ability to prioritize projects and manage time
Hard worker who’s not adverse to change
Previous experience using social media as an advertising tool (LinkedIn,
Twitter, Facebook, etc.)
Experience using CRM systems, preferably Redtail
Knowledge of digital dictation software such as Copytalk preferred
Strong MS Office Suite experience
Experience using email marketing software such as Constant Contact a plus
Financial industry and compliance knowledge preferred
